Un Formulario de impuestos W-2 muestra información importante sobre los ingresos que obtuviste de tu empleador, la cantidad de impuestos retenidos de tu cheque salarial, los beneficios proporcionados y otra información del año. Este formulario se usa para presentar los impuestos federales y estatales.

¿Qué es el Formulario W-2?

El IRS exige a los empleadores que reporten la información sobre los salarios de los empleados mediante el Formulario W-2. El Formulario W-2 también reporta detalles importantes sobre la cantidad de impuestos federales, estatales y otros impuestos retenidos de tu cheque salarial, así como otros beneficios complementarios del empleador, como seguro médico, asistencia para la adopción y para el cuidado de personas dependientes, contribuciones a cuentas de ahorros para gastos médicos y más. Como empleado, la información del Formulario W-2 es sumamente importante a la hora de preparar tu declaración de impuestos.

Por lo general, si trabajaste como empleado en un año determinado, deberías recibir un Formulario W-2 por parte de tu empleador cerca del comienzo del año siguiente.

¿Cuándo debe entregarse el Formulario W-2 en 2024?

Para garantizar que esté listo a tiempo, el IRS exige que tu empleador te envíe un Formulario W-2 a más tardar el 31 de enero posterior al cierre del año calendario. Por lo general, esto significa que los Formularios W-2 se envían por correo postal a más tardar el 31 de enero, pero no necesariamente que los empleados los reciben en esa fecha.

Como empleador, debes presentar los Formularios W-2 a la Administración del Seguro Social (SSA, por sus siglas en inglés) y al IRS a más tardar el 31 de enero, pero puedes solicitar una prórroga de 30 días mediante la presentación del Formulario 8809, Solicitud de prórroga para presentar declaraciones informativas. Deberás indicar que se aplica al menos uno de los criterios para la concesión de una prórroga.

Aunque solicites y recibas una prórroga para presentar los Formularios W-2, tendrás que proporcionar a tus empleados copias de sus Formularios W-2 a más tardar el 31 de enero, a menos que también solicites una prórroga para proporcionar dichos formularios a tus empleados después de la fecha de vencimiento.

Puedes solicitar una prórroga de 15 días para proporcionar los Formularios W-2 a tus empleados, a menos que demuestres la necesidad de una prórroga de 30 días enviando una carta por fax al IRS.

¿Qué debes hacer si no recibiste el Formulario W-2?

Si no recibiste el Formulario W-2 a principios de febrero, comunícate con tu empleador. Es posible que pueda proporcionarte una versión electrónica que podrás usar hasta que recibas la versión impresa por correo postal.

¿Qué debes hacer si encuentras un error en el Formulario W-2?

Si recibiste el Formulario W-2 y detectas un error en él, ya sea que tu nombre esté mal escrito, que el número de Seguro Social sea incorrecto, que contenga una cantidad de dinero erróneao cualquier otra cuestión, coméntaselo a tu empleador y solicita un Formulario W-2 corregido.

¿Quién recibe el Formulario W-2?

Solo debes recibir el Formulario W-2 si eres empleado.

Nota de TurboTax:

Si eres contratista independiente o trabajas por cuenta propia, el trabajo que realizas puede ser similar al de un empleado, pero deberías recibir la declaración de ganancias en un Formulario 1099-NEC, en lugar de un Formulario W-2.

Puedes recibir varios Formularios W-2 en cualquiera de los siguientes casos:

  • cambiaste de trabajo durante el año calendario;
  • tienes más de un trabajo en el que se te considera empleado;
  • la empresa para la que trabajaste fue adquirida por otra empresa.

¿Cómo se usa el Formulario W-2?

Es el empleador quien se ocupa de completar el Formulario W-2 que contiene información importante necesaria para completar tu declaración de impuestos. Este formulario reporta tu salario total del año y la cantidad de impuestos federales, estatales y otros impuestos retenidos de tu cheque salarial. Además, puede contener información sobre lo siguiente:

  • Propinas
  • Contribuciones a un plan 401(k)
  • Contribuciones a una cuenta de ahorros para gastos médicos
  • Primas de seguro médico que paga tu empleador
  • Otra información de diversa índole

Cómo leer el Formulario W-2

Recuadros A a F

Estos recuadros del Formulario W-2 proporcionan toda la información de identificación relacionada contigo y con tu empleador. Verás aquí tu número de Seguro Social (recuadro A), tu nombre (recuadro E) y tu dirección (recuadro F), así como los datos de tu empleador, como el número de identificación del empleador (EIN, por sus siglas en inglés) (recuadro B), el nombre y la dirección (recuadro C) y, si corresponde, el número de control (recuadro D).

Recuadros 1 y 2

El recuadro 1 muestra el total de ingresos sujetos a impuestos pagados por tu empleador, incluidos los sueldos, salarios, propinas, bonos y otras compensaciones sujetas a impuestos. El recuadro 2 muestra la cantidad total del impuesto federal sobre los ingresos que tu empleador retiene en tu nombre.

Recuadros 3 a 6

Los recuadros 3 y 5 muestran la cantidad de ingresos sujetos a los impuestos del Seguro Social y de Medicare, respectivamente. Los recuadros 4 y 6 muestran la cantidad retenida de impuestos del Seguro Social y de Medicare. Las cantidades de los recuadros 3 y 5 pueden ser diferentes de la del recuadro 1. Esto suele suceder en situaciones en las que aplazas los ingresos, como cuando contribuyes a un plan 401(k) u otro plan similar.

Recuadros 7 y 8

Si ganaste dinero a través de propinas, el recuadro 7 muestra la cantidad de propinas reportada, mientras que el recuadro 8 muestra cuánto dinero te asignó tu empleador en concepto de propinas.

Recuadro 9

En este recuadro, se solía reportar un beneficio del empleador que ya no existe. Por lo tanto, el recuadro aparece atenuado.

Recuadro 10

Si tu empleador ofreció o pagó beneficios para el cuidado de dependientes, esta cantidad se reporta en el recuadro 10.

Recuadro 11

Si recibiste de tu empleador algunos ingresos como compensación diferida de un plan no calificado, esta información se reporta en el recuadro 11.

Recuadro 12

Si recibiste otros tipos de compensación o se redujeron tus ingresos sujetos a impuestos, se reportarán en la serie del recuadro 12. A cada uno de estos elementos le corresponderá un código de una o dos letras, incluidos los elementos como las contribuciones realizadas a un plan 401(k), las contribuciones a cuentas de ahorro para gastos médicos realizadas por tu empleador o el costo sujeto a impuestos de un seguro de vida colectivo a término de más de $50,000.

Recuadro 13

En el recuadro 13, se reporta si trabajaste como empleado estatutario no sujeto a la retención del impuesto federal sobre los ingresos, si participaste en un plan de jubilación patrocinado por el empleador, tal como un plan 401(k) o un plan 403(b), o si recibiste un pago por enfermedad proveniente de un tercero, como una póliza de seguro.

Recuadro 14

Si tienes otra información tributaria que no corresponde a los demás recuadros del Formulario W-2, tu empleador puede usar el recuadro 14 para reportar estos elementos. Por ejemplo, la retención de impuestos del Seguro Estatal de Incapacidad, las cuotas sindicales, los pagos de uniformes, las primas de seguro médico deducidas y más.

Recuadros 15 a 20

Tu empleador usa lo recuadros 15 a 20 para reportar la información acerca de los impuestos estatales y locales sobre los ingresos con la abreviatura de dos letras del nombre de tu estado junto con el Número de Id. del estado de tu empleador, que asigna el estado. En estos recuadros, se pueden reportar los salarios de dos estados y dos localidades.

Si tu empleador tiene que reportar información de más de dos estados o localidades, deberá proporcionarte un segundo Formulario W-2.

¿Cuál es la diferencia entre el Formulario 1099 y el Formulario W-2?

Ambos formularios tienen por objetivo reportar los ingresos que obtuviste de diferentes fuentes a lo largo del año tributario. La diferencia radica en las circunstancias en las que se reciben dichos ingresos y en los impuestos que se retienen por ellos.

Si trabajas como empleado, tu empleador debe enviarte un Formulario W-2. Si trabajas como contratista independiente, es probable que la empresa te envíe un Formulario 1099-NEC en lugar de un Formulario W-2.

La diferencia entre un Formulario 1099 y un Formulario W-2 se reduce principalmente a las retenciones de impuestos. Los empleadores (Formulario W-2) retienen dinero de tu salario y lo envían en tu nombre a distintas agencias de impuestos a lo largo del año tributario.

Si eres trabajador por cuenta propia (Formulario 1099), la empresa que te paga no suele retener dinero en tu nombre. Tú eres responsable de hacer los pagos de impuestos que adeudas cada año.

¿Cuál es la diferencia entre el Formulario W-4 y el Formulario W-2?

Aunque el nombre es similar, hay diferencias importantes entre estos dos formularios.

En primer lugar, la persona que prepara cada formulario es diferente. Si trabajas como empleado, preparas un Formulario W-4 y se lo envías a tu empleador. Tu empleador prepara un Formulario W-2 al final del año y se los envía a ti, al IRS y a la Administración del Seguro Social.

En segundo lugar, el Formulario W-4 proporciona a tu empleador información que determina la cantidad de impuestos que debe retener de tu cheque salarial. El Formulario W-2 reporta las ganancias que obtuviste de tu empleador, así como la cantidad de impuestos que se te han retenido durante el año tributario.

Deberías considerar revisar tu retención de impuestos anualmente para asegurarte de que se retenga de tus cheques salariales la cantidad correcta de dinero. Si recibes un reembolso grande cada año y prefieres tener un cheque salarial por una cantidad mayor en cada periodo de pago y un reembolso menor a la hora de presentar la declaración de impuestos, puedes usar el Formulario W-4 para indicarle a tu empleador que cambie tus retenciones.

Asimismo, si no pagaste la totalidad de tus impuestos y debías un saldo al IRS, puedes proporcionar un nuevo Formulario W-4 a tu empleador para que retenga más de cada cheque salarial. Esto puede ayudarte a evitar tener que hacer un pago de impuestos al presentar la declaración y puede reducir o eliminar las multas por pago incompleto de impuestos estimados.

¿Qué es el "Cafe 125" en un Formulario de impuestos W-2?

No lo confundas con un lugar al cual ir a tomar un café. Cafe 125 se refiere a la sección 125 del código de regulación del IRS (Servicio de Impuestos Internos) con relación a los planes de cafetería libres de impuestos. Los empleadores pueden optar por establecer planes de "cafetería" por diversos motivos, por ejemplo, los ingresos antes de impuestos para ciertos beneficios como los siguientes:

Tú, tu cónyuge o tus dependientes pueden acceder a estos planes si cumplen con los requisitos específicos establecidos por tu empleador.

Si reportas el "Cafe 125" en tu Formulario W-2, no debería cambiar la forma en que preparas tu declaración de impuestos. El dinero que se separó por las elecciones que hiciste en el plan de beneficios de cafetería de tu trabajo ya debería haberse restado del total de tu salario reportado en el recuadro 1 del Formulario W-2.

¿Qué es el Formulario W-2G?

Si hiciste alguna apuesta y recibiste ganancias por ella, por lo general, deben incluirse en los ingresos sujetos a impuestos. El casino u otros operadores de apuestas pueden proporcionarte un Formulario W-2G de manera inmediata en el lugar de apuestas o al final de enero, que usarás para preparar tu declaración de impuestos.

Este formulario proporciona las ganancias reportables. Puede que no recibas necesariamente un Formulario W-2G para todas tus ganancias por apuestas, pero, de todas maneras, tienes que reportarlas en su totalidad. Si recibes varios Formularios W-2G, debes ingresar las ganancias incluidas en cada uno de ellos al preparar tu declaración de impuestos.

Importancia de las retenciones de impuestos

Si tu empleador retiene una cantidad de tu cheque salarial para el impuesto sobre los ingresos, esa cantidad se envía al IRS y a otras autoridades tributarias a lo largo del año. Puede que no te des cuenta, pero, en la mayoría de los casos, no puedes esperar hasta la fecha límite de presentación para pagar la totalidad de tu factura de impuestos. Las autoridades tributarias exigen que todas las personas realicen pagos periódicos a lo largo del año; sin embargo, tu empleador se encarga de esto por ti basándose en la información de tu Formulario W-4.

Cuando preparas la declaración y calculas los impuestos del año, la cantidad de retención que tu empleador reporta en el Formulario W-2 se resta de tu factura de impuestos.

Verificar tu nombre y número de Seguro Social

La sección de información de identificación del Formulario W-2 es esencialmente una función de seguimiento. Si los ingresos que reportas en tu declaración de impuestos no coinciden con la información de todos tus Formularios W-2, el IRS querrá saber por qué. Del mismo modo, el IRS comparará las cantidades de los pagos informadas con los reportes de impuestos corporativos de tu empleador para comprobar su precisión.

Sin embargo, lo más importante es que, dado que el IRS recibe una copia de los Formularios W-2, ya sabe que probablemente tengas ingresos reportables y puede comunicarse contigo si no presentas una declaración de impuestos.  Si el nombre o el número de Seguro Social que aparece en el Formulario W-2 es incorrecto, debes reportarlo de inmediato a tu empleador para que lo corrija.

Cómo adjuntar el Formulario W-2

Cuando termines con tu declaración de impuestos y estés listo para presentarla, recuerda que debes incluir una copia de tu Formulario W-2.
